Instructions for Participants – IARF Conference

To ensure a smooth and engaging experience at the IARF Conference, please follow these instructions:

Registration
  • Early Registration: We encourage all participants to register as early as possible to guarantee their participation.
  • Confirmation: Once registered, you will receive a confirmation email with your registration details. Please keep this for reference.
Abstract and Paper Submission (For Presenters)
  • Abstract Submission: Ensure your abstract is submitted via the conference portal by the specified deadline. Late submissions may not be considered.
  • Full Paper Submission: If your abstract is accepted, you will be required to submit the full paper by the deadline provided in your acceptance email.
Preparing for Presentations (For Presenters)
  • Oral Presentations:
    • Duration: 10 minutes presentation, followed by a 2-minute Q&A session.
    • Submission: Submit your presentation slides at least 24 hours before your session.
    • Platform: Presenters should use Windows OS and MS PowerPoint (or compatible software).
    • Technical Check: Please join the technical check at least 30 minutes before your scheduled time to ensure everything runs smoothly.
  • Poster Presentations:
    • Size: Posters should be 36 inches wide and 48 inches high.
    • Setup: Bring your printed poster to the venue and set it up before the event starts. Be available to discuss your poster during the session.
  • Virtual Presentations:
    • Duration: 10 minutes presentation, followed by a 2-minute Q&A.
    • Platform: Virtual presentations will be hosted on Zoom.
    • Login: Log into Zoom at least 30 minutes before your session to ensure everything is ready.
    • Presentation Submission: Submit your slides in advance for virtual attendees to view.
Conference Day Instructions:
  • Arrival: Arrive at the venue at least 30 minutes before your scheduled session to set up and ensure everything is in order.
  • Professional Attire: Please wear professional attire for your presentation or participation.
  • On-Site Assistance: Volunteers will be available for any technical support or queries during the conference.
Instructions for Listeners:
  • Attendance: Listeners can attend all conference sessions and engage in Q&A sessions following presentations.
  • Virtual Listeners: Virtual listeners will be able to participate through the Zoom platform, attending all virtual sessions and engaging with speakers during the Q&A.
  • Networking: Engage with fellow attendees and presenters during breaks or in networking rooms (for virtual attendees).
  • Interactive Participation: Listeners are encouraged to ask questions during the Q&A sessions to enhance the overall conference experience.
Networking and Engagement:
  • For All Participants: Use the designated breaks and networking opportunities to interact with fellow researchers, professionals, and speakers.
  • For Virtual Attendees: Join the Zoom chat and participate in virtual networking sessions to connect with other participants.
Technical Support:
  • On-Site: Volunteers will be available on-site to assist with any technical issues.
  • Virtual Support: Virtual participants can reach out to our tech team for assistance via Zoom support during the event
Post-Conference:
  • Feedback: You will receive a feedback form after the conference. We value your input and suggestions for future events.
  • Certificates:
    • For Presenters: You will receive a Certificate of Presentation
    • For Listeners: All listeners will receive a Certificate of Attendance after the conference
