The IARF Conference is committed to fostering a collaborative, ethical, and professional environment. These Terms & Conditions apply to all authors, presenters, attendees, and institutional partners involved in the IARF Conference, including participation, submissions, and any related activities. Please read these terms carefully before registering, submitting, or engaging with any aspect of the conference.
1. Conference Participation Guidelines
We may collect the following types of information:
1A. Mandatory Registration
- All individuals attending or presenting at the IARF Conference must complete the registration process and pay the applicable registration fee. Participation without registration is strictly prohibited.
1B. Communication Channels
- Participants must regularly check their email and the official IARF Conference website for updates regarding session timings, venue changes, or speaker line-ups. The IARF Conference is not responsible for any inconvenience caused by missed communications.
1C. Changes in Schedule or Venue
- The IARF Conference reserves the right to modify event dates, schedules, venues, or presentation formats (physical, virtual, hybrid) due to logistical or unforeseen circumstances. Any changes will be communicated promptly.
1D. Professional Conduct
- All attendees must maintain a high standard of professionalism throughout the conference. Disruptive behavior, use of abusive language, or unethical conduct will result in immediate removal from the event and potential disqualification from future IARF activities.
1E. Identity Verification
- Participants must present a government-issued photo ID (e.g., passport, national ID, Aadhaar) during on-site registration for verification purposes.
1F. Conference Kit Dispatch
- If conference kits (badges, certificates, etc.) are delayed and not available at the venue, they will be shipped to the registered mailing address after the event.
1G. Session Timeliness
- All sessions will commence as scheduled. Late arrivals will not be permitted to present, and presentation time slots will not be extended.
1H. Photography and Media Usage
- Photos and videos may be taken during the conference for academic, promotional, or social media purposes. By registering, participants consent to the use of their image and presentation materials in these contexts.
1I. Entry Restrictions and Security
- Participants intending to disrupt the event, engage in protests, or defame IARF or its partners will be denied entry and blacklisted from all future activities.
2. Paper Submission & Presentation
2A. Original Research Requirement
- All submitted papers must be original, unpublished, and not under consideration elsewhere. Duplicate submissions are strictly prohibited.
2B. Accurate Author Information
- The full names, institutional affiliations, and email addresses of all contributing authors must be correctly listed in the submission.
2C. Institutional Approval
- Authors must ensure that their research is approved by their respective institutions before submission.
2D. Deadline Compliance
- All papers must be submitted by the official deadline. Late submissions will not be accepted under any circumstances.
2E. Authorship Modifications
- Changes to authorship (additions or removals of co-authors) can only be made before registration and must include written consent from all authors.
2F. Abstract-Only Submissions
- Authors may opt to submit only an abstract for presentation. However, abstract-only submissions will not be eligible for post-conference journal publication.
2G. Author Responsibility
- The corresponding author (submitter) will serve as the sole point of contact and is responsible for all communications. IARF will not mediate disputes among co-authors.
2H. Plagiarism Policy
- Plagiarized submissions will be immediately rejected. Authors found guilty of plagiarism may be blacklisted from future IARF submissions depending on the severity of the case.
3. Journal Publication Guidelines
3A. Independent Process
- Acceptance into the conference does not guarantee publication in journals. Authors must opt into journal submission during registration or contact IARF after the event.
3B. Indexed Journals and Fees
- Publishing in indexed journals such as Scopus or Web of Science may incur additional charges, payable by the author.
3C. Editorial Rights
- Conference acceptance does not imply acceptance into the journal. Journals operate independently, and papers must undergo separate review and editorial processes.
3D. Manuscript Extension Criteria
- For journal submission, papers must be enhanced by at least 20% with additional depth, analysis, and supporting literature.
3E. Refund Clarification
- Journal rejection does not entitle participants to a refund of the conference registration fee.
4. Refund, Cancellation & Transfer Policy
4A. Cancellation by IARF
- In case of event cancellation due to unforeseen circumstances, participants will receive a full credit for another IARF event within 12 months.
4B. Participant-Initiated Cancellations
60+ days before the event: Full refund (minus administrative fee)
30–60 days before the event: 50% refund
Less than 30 days before the event: No refund
4C. Virtual Registrations
- Virtual registrations are non-refundable due to access to digital platforms and the prior dispatch of e-materials.
4D. Visa Issues
- Once an official invitation has been sent, no refunds will be granted regardless of visa status.
4E. Accommodation and Travel
- IARF does not manage accommodation, local transport, or travel logistics. Participants must arrange these independently.
4F. Name Transfers
- If a participant is unable to attend, another individual from the same institution may be nominated. This change must be made at least 7 days before the event via written request.
5. Plagiarism & Academic Ethics
5A. Plagiarism Checks
- IARF uses licensed plagiarism detection tools to assess all papers. Submissions exceeding acceptable similarity will be returned for revision.
5B. Pre-Event Violations
- Papers found to be plagiarized before the event will be excluded from the conference.
5C. Post-Publication Disputes
- If plagiarism is identified after publication, the paper will be removed from proceedings and the author notified. Legal actions may follow depending on the severity.
5D. Institutional Consequences
- Repeated offenses by the same author or institution will lead to permanent blacklisting.
5E. Self-Plagiarism
- Re-submitting previously published work without proper citation or significant new content is considered misconduct.
6. General Legal & Ethical Statements
6A. Organizational Independence
- IARF is an independent entity and is not affiliated with any government, university, or corporate sponsor.
6B. Participation Rights
- IARF reserves the right to refuse participation, remove submissions, or terminate partnerships for violations of these terms.
6C. Legal Jurisdiction
- Any disputes will be subject to the legal jurisdiction of Chennai, India.
